ATTACHMENT 1 <br />Examples of Items Captured in Meeting Minutes <br />These are examples of the different types of actions that may be recorded in action <br />minutes: <br />• Minutes : Approve (name of legislat ive body) minutes of (date) <br />• Warrants and Demands : Approve , rece ive and file City bills <br />• Approval of Environmental Impact Report , Plans and Specifications : <br />1) Adopt a (Categorical Exemption) pursuant to (15301 (c)) of CEQA Guidelines <br />2) Approve the plans and specifications for Project XYZ and authorize <br />advertising for bids for (name of project) <br />• Appropriation of Funds : Approve the appropriation of funds in the amount of($ <br />amount) from the (source of funds , e .g ., General Fund) to (receiving fund) for <br />(purpose). <br />• Approve Agreement: Approve an (Type of Agreement) w ith (Company/agency <br />name) in an amount not to exceed $ (amount) for the (description of project) and <br />authorize the City Manager or designee to execute the Agreement <br />• Award of Contract <br />1) Award the contract to (Company/agency) in the amount of$ (amount) for the <br />(Description of project) at (Location), CIP (Number); <br />2) Authorize the City Manager (or designee) to execute the Agreement ; and <br />3) Authorize the City Manager (or designee) to execute any necessary change <br />orders in an amount not to exceed (write out percentage) of the original contract <br />amount · <br />• Bid Advertisement Authorize : Approve the plans and spec ifications for Project <br />XYZ and advertising for bids for (name of project) <br />• Resolution , adopt: Adopt Resolution entitled , "A Resolution of the City Council of <br />the City of Pleasanton ...
