THE CITY OF 11 <br /> --' CITY COUNCIL AGENDA REPORT <br /> p L E ASANTON. <br /> December 21 , 2021 <br /> Library and Recreation <br /> TITLE: APPROVE AND AUTHORIZE THE CITY MANAGER TO EXECUTE THE <br /> PROFESSIONAL SERVICES AGREEMENT WITH AMERICAN CEMETERY <br /> MAINTENANCE AND BURIAL IN THE AMOUNT NOT TO EXCEED <br /> $205,650 FOR A ONE-YEAR CONTRACT TERM FOR BURIAL SERVICES <br /> AND GROUNDS MAINTENANCE <br /> SUMMARY <br /> The proposed contract with American Cemetery Maintenance and Burial (ACMB) is for <br /> burial services and grounds maintenance around the gravesites at the Pleasanton <br /> Pioneer Cemetery. With the expiration of the current burial services and grounds <br /> maintenance contract occurring on December 31, 2021, staff initiated a Request for <br /> Qualifications (RFQ) process. The services were advertised in September 2021 and the <br /> vendors were selected by staff in November. Based upon the qualifications of the <br /> vendors, staff recommends dividing the contract for burial services and grounds <br /> maintenance in the burial site areas from landscape and irrigation maintenance for the <br /> enhanced areas of the cemetery, such as hanging baskets and other decorative <br /> landscape that were added with the last phase of the Cemetery Master Plan <br /> implementation. ACMB would perform the burial services and grounds maintenance in <br /> the burial site areas and the City's landscape contractor, Terra Landscape, would <br /> perform the higher-level landscape and irrigation installation and maintenance services. <br /> If approved by City Council, the contract with ACMB would begin January 1 , 2022. <br /> RECOMMENDATION <br /> Approve and authorize the City Manager to execute the Professional Services <br /> Agreement with American Cemetery Maintenance and Burial in the amount not to <br /> exceed $205,650 for a one-year contract term for burial services and grounds <br /> maintenance. <br /> FINANCIAL STATEMENT <br /> Funds for the service contract have been allocated in the FY 2021/22 and FY 2022/23 <br /> Cemetery Enterprise Fund. The Professional Services Agreement with American <br /> Cemetery Maintenance and Burial is not to exceed $205,650 for a one-year contract <br /> term. This sum includes the cost of an estimated 50 burials per year and as-needed <br /> costs for the rental of a backhoe. The Professional Service Agreement can be renewed <br /> annually through December 31 , 2026. <br />
