THE CITY OF _ • 1 6 <br /> CITY COUNCIL AGENDA REPORT <br /> pLEASANTON¢ <br /> October 4, 2016 <br /> Library Services <br /> TITLE: APPROVE A PROFESSIONAL SERVICES AGREEMENT WITH <br /> BIBLIOTHECA IN THE AMOUNT OF $144,932.61 TO INSTALL NEW SELF- <br /> CHECKOUT MACHINES, SECURITY GATES, AND STAFF <br /> WORKSTATIONS, AND ADJUST PO #16001 TO INNOVATIVE <br /> INTERFACES FOR THE ADDITIONAL AMOUNT OF $78,000. <br /> SUMMARY <br /> The City has set aside funds in the Capital Improvement Project budget to upgrade the <br /> Library's self-checkout machines, security gates, and staff workstations to improve <br /> efficiency and patron experience. New self-checkout machines will facilitate multiple <br /> simultaneous checkouts, fines payment capabilities, and electronic resource discovery. <br /> New security gates will provide greater inventory control and loss prevention for the <br /> library's collection. Updated staff workstations will enable greater efficiency in staff <br /> workflows. The library must then acquire supplemental software in order to connect these <br /> new products to its Integrated Library System (ILS). <br /> Staff advertised and solicited a request for proposals for new self-checkout machines, <br /> security gates, and staff workstations. Three quotes were received, and Bibliotheca <br /> offered the best products and service for this project. To connect Bibliotheca's self- <br /> checkout machines, security gates, and staff workstations to the library's existing ILS, the <br /> library must purchase supplemental software from Innovative Interfaces, its ILS vendor. <br /> RECOMMENDATION <br /> 1. Approve a Professional Services Agreement with Bibliotheca to install new self- <br /> checkout machines, security gates, and staff workstations for the not-to-exceed <br /> amount of$144,932.61. <br /> 2. Authorize the City Manager to execute the attached professional services agreement. <br /> 3. Adjust PO #16001 to Innovative Interfaces for the additional amount of$78,000. <br /> FINANCIAL STATEMENT <br /> Funding for the new self-checkout machines, security gates, staff workstations, and <br /> software connectivity upgrades will be provided through the Library Radio Frequency <br /> Identification Capital Improvement Project budget. <br />
