Community Grant Contractor Agreement Fiscal Year 2024/25 This Agreement is made and entered into this 1st day of July, 2024 by and between the City of Pleasanton, a Municipal Corporation (the "City"), and Pleasanton Partnerships in Education Foundation ("Contractor"). The City is contracting with the Contractor for the provision of certain services, a description of which is presented in Exhibit A, attached hereto. 1. Statement of Work: Contractor shall perform or arrange for the performance of the work under this Agreement in the manner and time provided herein and in accordance with: the budget; the scope of work and any specifications and drawings; and all related documents and provisions attached hereto as Exhibit A and incorporated herein by reference. 2. Grant Award Amount: The City has allocated the sum of $3,000 in City General Funds to be expended as described in this contract. Unless an amendment to this contract otherwise provides, that amount shall in no event be exceeded by the Contractor, and the City shall under no circumstances be required to pay in excess of that amount. Payment shall be made subject to the terms and conditions set forth in Section 3: Funding Requirements and Limitations in the Community Grant Application Packet. No funds shall be used towards administrative staff and overhead expenses, including staff leave (sick, vacation, etc.). Sums not so paid shall be retained by the City. 3. 4. Term: Services/project rendered pursuant to this Agreement will be implemented and completed between the periods of July 1, 2024 through June 30, 2025. No funds expended prior to July 1, 2024 or after June 30, 2025 will be reimbursed. Records: Contractor shall maintain records for project review, evaluation, audit and/or other purposes and make them available to the City upon request. Such records shall be kept on file for a minimum of five years. Records shall be made available to the authorized representative of the City at any time during normal business hours. 5. Ownership and Use of Documents: All client information files are the property of the Contractor and shall be maintained in a confidential manner. All reports, records and statistics developed in connection with this Agreement are the property of the City, with the exception of client records and provider files. The Contractor shall have full use of the reports, records and statistics. 6.
