POLICY FIELD MAINTENANCE/FEE FOR SERVICE Personnel - Sport Field Services The City of Pleasanton shall fund one, full-time maintenance worker to provide sport field maintenance services throughout the year to address identified sport field needs. Sport organizations desiring services shall identify the level of service desired. Services requested beyond those able to be provided by the full-time maintenance staff person, shall be accomplished by utilizing temporary or part-time staff, the cost for which shall be borne by the requesting sport organization. The level of service to be provided, and the cost associated with the level of service to be provided, shall be agreed upon by the City and the individual sport organization prior to the beginning of the sport season. Implementation 1. Sport organizations shall request a meeting with the City at least four months prior to the need for increased service and, with the request for a meeting, shall submit a written request for increased service on a form provided by the City. 2. At the meeting between the City and the designated representative of the sport organization, the City will provide a written cost for the service requested. A discussion period will allow the sport organization an opportunity to adjust its request or the City to adjust its cost estimate based on any updated information available. 3. An agreement for service will be prepared by the City. The agreement will identify the level of service to be provided, the cost to the sport organization, and the payment schedule. The agreement will be signed by the City representative and the president of the sport organization. Equipment and Supplies Supplies/Materials Sport organizations shall be responsible for the cost of materials and supplies needed to complete requested maintenance tasks beyond those normally supplied by the City. Equipment Sport groups requesting service that requires the purchase of new or replacement equipment because of special requests shall meet with the City to address funding solutions. Equipment funding requests made of the City, except in unusual circumstances, will be considered in the usual City budget process.
