<br />/ <br /> <br />"'I <br /> <br /> <br />4N <br /> <br />'" <br /> <br />II I <br /> <br />pLfASANTONc <br /> <br />City Council <br />Staff Report <br /> <br />February 7,2006 <br />Assistant City Manager <br /> <br />SUBJECT: <br /> <br />AUTHORIZATION TO ENTER INTO AN AGREEMENT WITH <br />VMI INC., FOR THE INSTALLATION OF VIDEO EQUIPMENT IN <br />THE CITY COUNCIL CHAMBERS <br /> <br />STAFF RECOMMENDATION: <br /> <br />Staff recommends the City Council authorize an agreement with VMl Inc., <br />in the form of a purchase order, in the amount of $65,656 for the purchase <br />and installation of video equipment for the City Council chambers. In <br />addition, staff recommends a project contingency of $8,000 to address <br />modifications to the Council dais and project costs that may develop as the <br />existing equipment is replaced. <br /> <br />SUMMARY: <br /> <br />The majority of video equipment in the City Council chamber is <br />approximately six to ten years old. Recently, there have been equipment <br />failures that have interrupted City Council meeting broadcasts. Upon <br />researching these matters, staff determined it is advisable to install a new <br />more current system that will improve programming flexibility and <br />reliability rather then attempting to replace existing equipment. Staff <br />is recommending the Council approve a "sole-source vendor" proposal from <br />VMI, Inc., to upgrade the equipment. The proposal is attached to <br />this report. <br /> <br />Honorable Mayor and Members of the City Council: <br /> <br />BACKGROUND <br /> <br />The City first installed video broadcast equipment in the City Council chambers in the early <br />1990's to facilitate live broadcasts of City Council meetings. In 2000, a portion of the <br />equipment, including the three existing three cameras, were replaced. Recently, some of the <br />existing equipment has failed causing interruption to live broadcasts.
