Commissioner Sullivan recommended the following to staff: <br />• Prepare a General Plan Update process flow-chart and make it accessible to the public. <br />• Have an adequate facility for the meeting with microphones for the Commission, staff, <br />and the public <br />• Televise the meetings to make people aware of the Update process <br />• Provide adequate time for public input; do not use a 10:00 p.m. time limit for the <br />meetings <br />• Provide sufficient staff reports and handouts for the public <br />• Give adequate notification time to the public regarding meeting dates <br />• Conduct a community survey regarding General Plan issues and provide feedback to the <br />Commission <br />Commissioner Roberts commented that not all the meetings should be televised; just certain ones <br />which would be of greater public interest, such as the meeting on the East Side area. She added <br />that Commission meetings should be announced at Council meetings, which are televised. With <br />respect to advance mailing, Commissioner Roberts stated that staff cannot distribute materials to <br />the public before the Planning Commission gets them. She also noted that with respect to <br />providing adequate public input time, 10:00 p.m. could be set as a goal rather than a limit to end <br />the meeting. <br />Commissioner Fox suggested that staff look into having interactive call-in shows or the Valley <br />Forum to provide larger public access. She also suggested that the meetings be announced at the <br />PUSD Board meeting and on the PUSD e-mail bulletin board. <br />Commissioner Maas inquired how much the televised shows would cost. She also suggested the <br />use of the overhead projector for maps so the Commission and the public can get a better view of <br />presentation material. <br />After some discussion, it was agreed that in lieu mailing out meeting agendas, postcard notices <br />would be sent out by staff to those on the General Plan mailing list in advance of the meeting. <br />The postcard would indicate the date, time, and place of the meeting as well as the topic for <br />discussion. It would also note that the agenda, minutes, and staff report for the meeting would be <br />available at the City office, on the web, and via e-mail. <br />Mr. Rasmussen stated that he would follow up on the above suggestions for upcoming General <br />Plan meetings. <br />c. Schedule of Future Meetings <br />The Commission scheduled the next General Plan Update meeting for Thursday, March 4, 2004, <br />at 7:00 p.m. The topic to be discussed would be "Housing." <br />PLANNING COMMISSION GENERAL PLAN UPDATE MINUTES, 2/19/2004 Page 9 of 10 <br />
