YOUTH COMMISSION AGENDA REPORT <br />January 10, 2024 <br />Item 4 <br />TITLE: DISCUSS THE EVALUATION PROCESS AND MEETING FORMAT FOR <br />FISCAL YEAR 2024/25 COMMUNITY GRANT PROGRAM – YOUTH <br />CATEGORY <br />SUMMARY <br />The Youth Commission will review the Fiscal Year 2024/25 Community Grant – Youth <br />Category and make funding recommendations to the City Council at its March 13, 2024, <br />meeting. To prepare for the review and funding recommendation, the commission <br />should discuss the evaluation process and meeting format. Staff will be available to <br />answer questions commissioners may have related to the use of ZoomGrants, the <br />online grant software program. <br />RECOMMENDATION <br />Discuss the evaluation process and meeting format for Fiscal Year 2024/25 Community <br />Grant Funds – Youth Category. <br />BACKGROUND <br />Annually, the Youth Commission reviews, discusses, and makes funding <br />recommendations for the Community Grant – Youth Category. At the March meeting, <br />commissioners are asked to listen to presentations from potential grantees, discuss <br />applications based on the commission’s grant criteria, and obtain consensus on final <br />funding recommendations. <br />DISCUSSION <br />The Community Grant application for FY 2024/25 is open from December 1, 2023 to <br />January 19, 2024. There is $40,000 allocated for FY 2024/25. Following the grant <br />deadline, commissioners will be emailed a summary of grant applications and funding <br />requests and instructed to start reviewing online applications through ZoomGrants. <br />Applications will remain available for review until Monday, February 12, 2024, at 11:59 <br />p.m. Applications will still be viewable on ZoomGrants after that time; however, <br />commissioners will not be able to modify their entries. <br />At the March 13, 2024 meeting, staff will provide recommendations and a summary of <br />the commissioners’ review in an agenda report for commission consideration. New <br />applicants will be invited to the meeting and will be given five minutes to present their <br />application. Commissioners will have an opportunity to discuss their initial funding <br />review and make final funding recommendations.
