BACKGROUND <br /> The City uses contract services to provide public art conservation and maintenance <br /> services for its collection of 64 pieces of public art. Specialized maintenance is <br /> important to maintain these valuable City assets. Professionally trained art conservators <br /> maintain the collection utilizing art maintenance specific tools, equipment, and <br /> materials. Conservators evaluate the collection regularly to develop a plan and provide <br /> restoration work to address the normal patina, rust, and discoloration of pieces. They <br /> also repair and restore pieces that are damaged or faded and discolored due to weather <br /> conditions. <br /> In June 2018, the City entered into an Agreement for Goods and Services with <br /> Preservation Arts for public art maintenance services. During this time, Preservation <br /> Arts documented maintenance and repairs to 62 pieces of public art throughout <br /> Pleasanton. The First Amendment to the Goods and Service Agreement expired on <br /> June 30, 2020, and routine maintenance was paused due to the COVID-19 pandemic. <br /> The Second, Third and Fourth Amendments extended contractual services with <br /> Preservation Arts through June 30, 2023. From 2018 to 2023, the public art collection <br /> expanded to the now current 64 pieces and Preservation Arts has continued to maintain <br /> and preserve all pieces to the highest quality. <br /> DISCUSSION <br /> In April 2023, the City distributed a Request for Qualifications (RFQ) for public art <br /> conservation and maintenance services. Two vendors responded to the RFQ. A panel <br /> of three staff reviewed respondents' written proposals, scored independently based on <br /> criteria required by the RFQ, and contacted references listed by the respondents. <br /> After a thorough evaluation process, Preservation Arts was unanimously chosen as the <br /> preferred vendor based on several factors: <br /> • Preservation Arts has provided excellent service to the City of Pleasanton since <br /> 2018, and demonstrated professionalism, quality of work, and expertise in the <br /> field of public art conservation <br /> • Preservation Arts has also showed superior experience providing public art <br /> conservation and public art maintenance throughout the Bay Area, including the <br /> Cities of Dublin, San Francisco, and Santa Rosa <br /> • Reference checks yielded positive feedback on satisfaction of work, <br /> professionalism, responsiveness, and quality. <br /> At its June 12 meeting, the Civic Arts Commission unanimously voted to recommend <br /> the City Council approve a new agreement with Preservation Arts for public art <br /> conservation and maintenance. <br /> Page 2 of 3 <br />
