3 <br /> THE CITY OF <br /> ;Mr'. <br /> -_�_� "' CITY COUNCIL AGENDA REPORT <br /> pLEASANTON. <br /> December 6, 2022 <br /> City Manager <br /> City Clerk <br /> TITLE: ADOPT A RESOLUTION UPDATING THE RECORDS RETENTION <br /> SCHEDULE REGARDING LEGISLATIVE BODIES MEETING RECORDINGS <br /> SUMMARY <br /> The City's Records Retention Schedule designates the retention of City Council and <br /> committee audio and video tapes for a total period of five years. Since the start of the <br /> pandemic, City Council and commission meetings have been electronically recorded <br /> using the Zoom platform. The proposed resolution updates the schedule to align the <br /> retention for both audio and video recordings with the retention period of agenda <br /> reports. This update also serves to support the transition to action minutes by retaining <br /> audio and video recordings for the same timeframe. <br /> RECOMMENDATION <br /> Adopt a resolution updating the Records Retention Schedule to retain City Council <br /> meeting recordings for a total of 15 years, commission meeting recordings for a total of <br /> 10 years, and committee meeting recordings for a total of 5 years. <br /> FINANCIAL STATEMENT <br /> There is no fiscal impact associated with this action. <br />
