THE CITY OF 6 <br /> CITY COUNCIL AGENDA REPORT <br /> pLEASANTON <br /> January 18, 2021 <br /> Library and Recreation <br /> TITLE: APPROVE AND AUTHORIZE THE CITY MANAGER TO EXECUTE A NEW <br /> 5-YEAR CONTRACT WITH INNOVATIVE INTERFACES INCORPORATED <br /> FOR THE POLARIS INTEGRATED LIBRARY SYSTEM FOR A TOTAL <br /> AMOUNT OF $343,166. <br /> SUMMARY <br /> The Library and Recreation Department began a Request for Qualifications (RFQ) <br /> process in September 2021 for an Integrated Library System (ILS), as the current <br /> contract with Innovative Interfaces Incorporated expires on June 30, 2022. Based upon <br /> their qualifications and the ability to provide an upgraded ILS, staff recommends <br /> continuing service with Innovative Interfaces Incorporated. If approved by City Council, <br /> the contract will begin on July 1, 2022. <br /> RECOMMENDATION <br /> Approve and authorize the City Manager to execute a new 5-year contract with <br /> Innovative Interfaces Incorporated for the Polaris ILS for a total amount of $343,166. <br /> FINANCIAL STATEMENT <br /> The total cost for the 5-year contract is $343,166; $96,895 year one, $59,975 year two, <br /> $59,975 year three, $62,074 year four, and $64,247 year five. The funding for this <br /> contract is in the Library and Recreation Department's technical services library budget. <br /> The contract can be extended annually beyond the five-year period. The maximum <br /> annual rate increase shall be 3.5 percent. <br />
