Task 7 —Staff Training <br /> Training for the new CMMS implementation incorporates classroom training, training handouts or "cheat <br /> sheets,"and an optional six-month follow-up reinforcement session with end-users after the system go-live. <br /> GHD is presenting a modified "Train the Trainer" approach to the Training Plan. GHD will provide two (2), <br /> onsite trainers during Task 7. Upon completion of their training, the City technical trainers are expected to <br /> assist GHD during additional classes as those sessions tend to be larger. Assistance with the training <br /> classes by City employees will result in increased confidence in City technical users becoming even more <br /> familiar with their system and will help employees identify their system MaintStar Champions. <br /> Subtask 7.1: Develop a Training Plan <br /> A Training Plan will document the defined training needs for a work and maintenance management system <br /> and define the training approach conducted as part of the system implementation. GHD will develop a <br /> Training Plan for the City's system implementation that documents the goals for training, topics to be <br /> covered, identification of functional groups to participate in training, and logistical details such as where, <br /> when, and how the training will be conducted. <br /> Subtask 7.2: General Training <br /> GHD will assume at this time there will be training for office staff(administration, dispatch).Another level of <br /> training will be for managers that may require cost and reporting capabilities, as well as the ability to <br /> potentially reopen closed work orders. The third level of training will be needed for supervisors that would <br /> possibly require training on both the office software and a mobile application. And finally, a fourth training <br /> level for field staff who would most likely be trained just on the mobile app. This is subject to modifications <br /> and change, and GHD understands this. <br /> Subtask 7.3: Technical Training <br /> This training will focus on Information Technologies staff and/or subject matter experts (SME's) from each <br /> OSD division. It will consist of technical users accessing MaintStar through both the front and back-end and <br /> generating examples of core functionalities determined by the City's project leaders. Additionally, training <br /> will include, but not be limited to, system upgrade functionality, test environment management and data <br /> migration, systems administration, and customizations performed by GHD and how to continue those <br /> improvements. GHD typically refers to this training as System Administrator Training. <br /> Task 7: Roles and Responsibilities <br /> — The City will assist in the development and review of the Training Plan <br /> — Provide a training room appropriately sized for the number of training participants <br /> — Will ensure attendance of identified staff <br /> — City trainees will use their computers and mobile devices <br /> — City SMEs will assist GHD's trainers with general training and up to 40 hours of onsite Technical Training <br /> Task 7: Deliverables <br /> — Final Training Plan <br /> — Training materials and delivery of up to eight(8) hours of Technical Training <br /> — Training materials and delivery of up to 72 total hours of onsite General Training. GHD envisions the <br /> session as 72 hours of General Training(plus 8 hours of Technical Training)for a total of two consecutive <br /> weeks of onsite training. <br /> — Optional: GHD will provide two onsite instructors for a six-month follow-up reinforcement training session <br /> with end-users after the system go-live(40 hours of general training/5 days onsite). <br /> The Power of Commitment <br /> 11227916 I Proposal for Workflow Development&Integration into MaintStar CMMS Scope Update and Fee 11 <br />
