BACKGROUND <br /> A Virtualized Desktop Infrastructure (VDI) platform serves to replicate a user's complete <br /> desktop computer (operating system, programs, and data) by allowing off-site access <br /> through a secure data center that is accessible through multiple end-user devices. <br /> The City first introduced a VDI solution for Pleasanton Library patrons in 2009, later <br /> deploying VDI for city staff in 2012. This initial deployment accounted for about 25 <br /> percent of the City's traditional standard desktop fleet. The transition to VDI result in a <br /> reduction in costs associated with conventional desktop PCs, such as hardware, <br /> support and administration, budgeting for future replacements, and energy savings as <br /> thin-client devices draw approximately 10 percent of a typical PC's energy. This original <br /> implementation for staff in 2012 is still used today. <br /> Most recently, having a VDI solution allowed Information Technology staff to respond <br /> quickly and effectively to the City's business continuity efforts while adhering to the <br /> restrictions and protocols related to the coronavirus pandemic. VDI is an optimal <br /> solution for teleworking and facilitating staff reassignment to temporary office space. <br /> DISCUSSION <br /> The City's existing VDI platform has significant limitations as the operating system has <br /> reached its functional end-of-life, and our organizational demand has exceeded its <br /> current performance capabilities. As well, the current system has reached full capacity <br /> and we are unable to add any additional VDI users. Moreover, our current system <br /> cannot support the virtual meetings with video conferencing that have become a <br /> requirement for many of our VDI users. <br /> Information Technology staff met with Dell/EMC to design the next-generation platform <br /> for the City's VDI solution. A solution [Dell/EMC VxRail V570F —w/VMWare vSAN <br /> Advanced] was recommended, and a bill of materials was generated and posted to the <br /> city website soliciting qualified vendors to submit cost proposals for the equipment, <br /> installation support, and extended maintenance. <br /> Lanair Group, LLC, submitted the most competitive proposal of the two the City received, <br /> and its proposal meets the requirements outlined by the City.
