THE CITY OFlL1 8
III III mlm Ala CITY COUNCIL AGENDA REPORT
jL-EASANTONC
June 18, 2019
Operations Services
TITLE: APPROVE AS-NEEDED SERVICE AGREEMENTS FOR FACILITIES
RENOVATION, UTILITIES REPAIRS, STREET REPAIRS, PARKS, TRAILS
AND MEDIAN RENOVATION, AND GENERAL INFRASTRUCTURE
REPAIRS
SUMMARY
To effectively maintain the integrity of City infrastructure, the City utilizes contract
services in a broad range of areas which include: facilities renovation, utilities (water
and sewer) repairs, street repairs, parks, trails and median renovation, and general
infrastructure repairs. In May 2019, staff solicited bids for the services of experienced
licensed contractors to perform as-needed services in these areas by posting a legal
publication and notification on the City's website. Based on the bids received, staff has
established a list of as-needed service agreements with not to exceed limits as
summarized in Table 1 of this report. The recommended as-needed service agreements
will commence on July 1, 2019 and expire on June 30, 2022, with an option for two
additional one-year extensions.
RECOMMENDATION
Approve and authorize the City Manager to execute multiple three year as-needed
service agreements, each with the option for two additional one-year extensions, for the
not-to-exceed amounts listed in Table 1 of this report.
FINANCIAL STATEMENT
Contracted services are funded in the Operating Budget and Repair and Replacement
Funds for the Operations Services Department's Divisions that oversee the work. The
FY2019/20 not-to-exceed limit for each agreement is listed in Table 1. Fiscal Year
2020/21 and FY2021/22 not-to-exceed limits for each agreement shall be increased
based on the San Francisco-Oakland-San Jose Metropolitan Area Consumer Price
Index (CPI) for the 12-month period ending in April.
