THE CITY OF 1 0 <br /> CITY COUNCIL AGENDA REPORT <br /> PL EASANTON, <br /> September 6, 2016 <br /> Library Services <br /> TITLE: APPROVE A PROFESSIONAL SERVICES AGREEMENT WITH <br /> BACKSTAGE LIBRARY WORKS IN THE AMOUNT OF $63,840 TO <br /> PROVIDE COLLECTION TAGGING SERVICES TO WORK WITH NEW <br /> SELF-CHECKOUT MACHINES AND SECURITY GATES <br /> SUMMARY <br /> The City has set aside funds in the Capital Improvement Project budget to upgrade the <br /> Library's self-checkout machines and security gates to improve efficiency and patron <br /> experience. Radio Frequency Identification (RFID) is the new industry standard for <br /> library security and self-service. RFID is more efficient and effective for both staff and <br /> library patrons and allows for continued improvements in the future. In order to upgrade <br /> the self-checkout machines and security gates, the library collection must be tagged with <br /> RFID tags. <br /> Staff advertised and solicited a request for proposals for new self-checkout machines, <br /> security gates and collection tagging. Three quotes were received that included the self- <br /> checkout machines, security gates and collection tagging. However, Backstage Library <br /> Works provided a quote only for collection tagging. Backstage offered the best service <br /> and pricing for the collection tagging portion of this project. <br /> RECOMMENDATION <br /> 1. Approve a Professional Services Agreement with Backstage Library Works to provide <br /> collection tagging services to work with new self-checkout machines and security <br /> gates for the not-to-exceed amount of$63,840. <br /> 2. Authorize the City Manager to execute the attached professional services agreement. <br /> FINANCIAL STATEMENT <br /> Funding for the Radio Frequency Identification (RFID) tagging will be provided through <br /> the Library Radio Frequency Identification Capital Improvement Project budget. <br />
