THE CITY OF <br /> '� <br /> Irma <br /> LE ASANTON. <br /> MEMORANDUM <br /> Date: November 20,2015 b <br /> To: Nelson Fialho, City Manager and Tina Olson,Director of Finance 4" <br /> From: Kathleen Yurchak, Interim Director of Operations Services <br /> Subject Authorize Purchase Order for Emergency HVAC Repair Services at the Senior Center <br /> Recommendation: <br /> Staff recommends authorization of a purchase order to ACCO Engineer Services for the emergency <br /> repair and retrofit of the HVAC system at the Pleasanton Senior Center. <br /> Background: <br /> Earlier this month,the HVAC system that supplies heat and air conditioning to the Senior Center's <br /> classrooms and lobby experienced a catastrophic failure,eliminating the ability to adjust the system to <br /> regulate the temperature. The contractor was able to switch the system to heat,but due to the failing <br /> system,we are unable to control the temperature in the facility, causing a great deal of discomfort for <br /> senior participants and rental customers. Without making these repairs and retrofitting the valve boxes <br /> the air flow and temperature cannot be controlled or adjusted throughout the facility. <br /> ACCO is our current maintenance service and repair As-Needed Contractor for the Senior Center and is <br /> the most knowledgeable on the system, and in September of 2014,made similar repairs to the system, <br /> therefore I am requesting that ACCO be authorized to perform the emergency repair work,per the City's <br /> Purchasing Policy, Emergency Purchases and Exemptions to Standard Practices. <br /> Financial Impact: <br /> The purchase order is for a not to exceed amount of$220,000. Funding is available in Internal Service <br /> Fund 043900 for facilities renovations and repairs. <br />
