THE CITY OF 15
- t° "' CITY COUNCIL AGENDA REPORT
pL EASANTONc
July 15, 2014
Operations Services
TITLE: APPROVAL OF THREE "AS NEEDED" MAINTENANCE AND TRADE
SERVICES AGREEMENTS FOR FACILITY AND STREET LIGHT
MAINTENANCE SERVICES
SUMMARY
The City utilizes various types of private professional maintenance services to complete
timely and cost effective maintenance on City facilities and infrastructure such as
roadways and water/sewer systems. Some of these services are addressed specifically
through a standard public works bid process for large projects, such as street repaving
or facility renovation, and others are more general and used for routine and
unanticipated repair services such as electrical, painting or HVAC maintenance/repair.
To assure that the City can address these more general items in a manner consistent
with demand utilizing a licensed contractor; it utilizes "As-Needed" service contracts that
secure qualified sources for these services.
The City's Purchasing Procedures Manual recognizes "As-Needed" services and
requires Council approval for service in excess of $25,000 unless determined otherwise
by the City Manager. This report recommends approval of "As-Needed" service
agreements with Bel Air Mechanical, Inc., for HVAC services, Keystone Pest Control for
pest control and Vista Universal, Inc. and St. Francis Electric for street, parking lot and
pathway light maintenance and repair services. All agreements have a maximum
amount of$100,000.
RECOMMENDATION
Authorize the City Manager to enter into the attached As-Needed Maintenance and
Trade Services Agreements with Bel Air Mechanical, Inc. , Keystone Pest
Control, Vista Universal Inc. and St. Francis Electric in an amount not to exceed
$100,000 per contract and per fiscal year.
FINANCIAL STATEMENT
These services are currently included in the City Budget.
