BACKGROUND <br /> In 2010, the City initiated a Request for Proposal (RFP) process for a Shakespeare <br /> based outdoor theater production and children's theatrical production services. The <br /> Request for Proposal was sent to ten (10) professional Bay Area theater companies. <br /> The San Francisco Shakespeare Festival was the only theatre company to submit a <br /> proposal by the deadline. Although there was one (1) proposal received, the City felt <br /> confident in recommending SFSF based on their past performance. <br /> The City's current agreement with the San Francisco Shakespeare Festival expires on <br /> June 30, 2013. In order for the City to continue to provide outdoor theatrical production <br /> services without interruption, it is essential that the City secure an agreement with a <br /> theatre company so preparation can begin for the next outdoor theatrical season in July <br /> 2013. <br /> DISCUSSION <br /> In consideration of this timeline, staff conducted a RFP process for outdoor theatrical <br /> production services in October 2012. In addition to the City's customary process of <br /> announcing the bid process through press releases and being posted on the City's <br /> website, the RFP was also sent to four (4) professional Bay Area outdoor theater <br /> companies, all known for their professionalism, quality of work, and outdoor <br /> programming. <br /> Two (2) theatre companies responded to the RFP for the outdoor theatrical production <br /> services; the San Francisco Shakespeare Festival and Shakespeare's Associates. On <br /> October 26, 2012, a Screening Committee consisting of two (2) Civic Arts <br /> Commissioners and City staff reviewed the proposals and interviewed the two (2) <br /> outdoor theatre companies. <br /> The Screening Committee acknowledged the excellent programming provided by <br /> Shakespeare's Associates in Livermore over the past few years, but they unanimously <br /> voted to recommend the San Francisco Shakespeare Festival as the City's provider of <br /> outdoor theatrical production services. The Committee was thoroughly impressed with <br /> the San Francisco Shakespeare Festival's vast experience and high quality <br /> programming. They felt strongly that the San Francisco Shakespeare Festival would <br /> continue the excellent level of outdoor theater that the community had come to expect. <br /> At the May 6, 2013 Civic Arts Commission meeting, the Commission voted unanimously <br /> to recommend that the services agreement for outdoor theatrical production services be <br /> awarded to the San Francisco Shakespeare Festival. They felt that SFSF has <br /> established a wonderful program here in Pleasanton and they would like to see that <br /> tradition continue. <br /> Page 2 of 3 <br />
