relationship built from this program the City initiated discussions with SFSF about the feasibility <br /> of having them assist with the Civic Arts Stage Company program and contracts were <br /> established for productions in 2008 and 2009. <br /> With the opening of the Firehouse Arts Center in 2010, City staff determined that collaboration <br /> with a theatrical production organization/company could offer children's theatrical production <br /> services as an expansion of Civic Arts programs and the Firehouse Arts Center and in 2010 a <br /> Request for Proposal (RFP) process for outdoor Shakespeare productions and children's <br /> theatrical production services was initiated. <br /> The RFP was sent to ten (10) professional Bay Area theater companies, and SFSF was the <br /> only company to submit a proposal by the deadline. Based on past performance, the City was <br /> confident in recommending SFSF and an agreement was approved for fiscal year 2010/2011 <br /> with two one year extensions. <br /> To continue these services without interruption, the Commission was advised that the current <br /> Services Agreement expires on June 30, 2013 and it is essential for the City to secure an <br /> agreement with a theatre company. Staff conducted an RFP process for children's theatrical <br /> production services in October 2012 by announcing through press releases, posting on the <br /> City's website, and sending RFP's to five (5) professional Bay Area theater companies. In <br /> addition, staff initiated two (2) other RFP processes for adult repertory theatrical production <br /> services and "Free Shakespeare in the Park" theatrical production services. <br /> Both Bay Area Children's Theatre and San Francisco Shakespeare Festival responded to the <br /> RFP for the children's theatrical production services. A Screening Committee consisting of two <br /> (2) Civic Arts Commissioners and City staff reviewed the proposals and interviewed <br /> representatives for both companies. The Committee was impressed with BACT and felt <br /> strongly they would continue the excellent level of children's theater for the community and <br /> with their knowledge and experience would continue to grow the program and enrich the <br /> experiences for the community. <br /> Ms. Andrade-Wax provided a PowerPoint presentation of the process for the Children's <br /> Theatrical Productions Services (RFP), which included information pertaining to Purchasing <br /> Procedures for Professional Consultant Services, Consultant Selection Process, Consultant <br /> Selection Criteria, Determining Most Qualified Consultants, RFP for Children's Theatrical <br /> Production Services, Selection Criteria, Bay Area Children's Theatre, Background, Mission, <br /> Programs, Main Stage Productions, Youth Education Program, and Community Outreach. <br /> The Commission was introduced to Nina Meehan, Executive Director for the Bay Area <br /> Children's Theatre who provided information about the organization and their plans for <br /> providing services for the City of Pleasanton. <br /> Ms. Meehan provided Commissioner De Baca Martens with information regarding the three <br /> shows that BACT anticipates putting on for the upcoming season.
