THE CITY OF A /'1 <br /> CITY COUNCIL AGENDA REPORT I L <br /> pL EASANTONO <br /> November 20, 2012 <br /> Community Services <br /> TITLE: APPROVE THE PROFESSIONAL SERVICES AGREEMENT WITH THE <br /> CULTURAL PLANNING GROUP IN THE AMOUNT OF $77,480 FOR THE <br /> CULTURAL PLAN UPDATE AND APPROVE THE FORMATION OF A 14- <br /> MEMBER AD-HOC STEERING COMMITTEE <br /> SUMMARY <br /> On May 3, 2011, the City Council adopted its Annual Work Plan for 2011 — 2012 that <br /> includes the update to the Cultural Plan. The Cultural Plan Update will provide a <br /> framework for directing City resources toward programming, facilities and for addressing <br /> future community art related needs over the next several years. <br /> In July 2012, a Request for Qualifications (RFQ) was issued to obtain qualified <br /> consultants to coordinate the process and prepare a comprehensive Cultural Plan <br /> Update. The proposal review process is now complete and the screening committee <br /> recommends the City Council enter into an agreement with The Cultural Planning Group <br /> to prepare the City's Cultural Plan Update. <br /> RECOMMENDATION <br /> 1. Approve a professional services agreement with The Cultural Planning Group in <br /> the amount of $77,480 for the development of the Cultural Plan Update. <br /> 2. Approve an expenditure of $77,480 from the General Fund Contingency for the <br /> project. <br /> 3. Approve the formation of a 14-member Ad-Hoc Cultural Plan Update Steering <br /> Committee from the commissions and organizations detailed in this report <br /> FINANCIAL STATEMENT <br /> The total cost for the agreement to prepare an update to the Cultural Plan is not to <br /> exceed $77,480. Because this project is not currently budgeted, funding for this project <br /> will be made available through a transfer from the General Fund Contingency of <br /> $77,480. <br />
