BACKGROUND
Since the initial agreement with the Amador Livermore Valley Historical Society
(ALVHS) in July 2007, both agencies have worked to enhance and expand the
interpretive programming and administrative operations for the Alviso Adobe
Community Park. Since the Alviso Adobe opened in October 2008, the educational
programs have flourished, the docent program has been established, and a collections
management program was initiated.
DISCUSSION
The proposed Agreement commences on July 1, 2011, and expires June 30, 2012.
Contingent on ALVHS' performance and the City Council's approval of sufficient funding
in subsequent years, the Agreement may be extended for an additional three (3) one
year terms. Funds for the Agreement are included in the FY 2011/12 and FY 2012/13
Operating Budgets.
The Agreement replaces any previous grants or agreements between the City and
ALVHS, and represents the total compensation for programs and services provided by
ALVHS related to the Alviso Adobe Community Park and the Museum on Main as
outlined in Exhibits A and B.
Exhibit A denotes the programming and services the Museum on Main provides to
preserve and commemorate the history of Pleasanton and the Livermore Valley.
Specifically, dollars will be used to underwrite staff salaries, day to day operation
expenses, public programs and supplies. The Museum on Main will continue to offer
programs, such as its Lecture Series at the Firehouse Arts Center and downtown
walking tours.
Exhibit B is specific to the programs, interpretive planning, collections management and
fundraising support for the Alviso Adobe Community Park.
The City will compensate ALVHS for services rendered by making an initial payment of
$102,963 on or before July 29, 2011. Thereafter, ALVHS will invoice the City on a
monthly basis for expenses incurred as a result of providing services indicated in Exhibit
B. These related expenses shall not exceed $35,842 annually. Total compensation for
the Agreement shall not exceed $138,805 per year.
City staff and ALVHS have agreed to develop an annual work plan to ensure that
benchmarks and parameters for deliverables for each major service area are
accomplished. Meetings will be held on a monthly basis to collaborate and monitor
work plan deliverables. This collaborative relationship has strengthened over the years
and the ALVHS Board of Directors is supportive of the proposed Agreement.
