Mr. Huy Ho
City of Pleasanton
May 25, 2010
Page 2
• Caltrans alternative design efforts: During the first half of November 2009, Carollo
staff worked to provide the City with potential alternatives for the design that may have
been necessary if Caltrans elected to develop the Las Positas interchange at 1 -680.
While such alternatives were conceptual, Carollo was requested to review constructible
options. The alternatives reviewed included:1) Fit the design within the existing
easement, 2) Relocate the facility 150 feet to the east, 3) Shorten the proposed building,
and 4) Design the pump station completely underground. A memorandum discussing the
first three alternatives was provided on November 18, 2009.
• Project schedule: In addition to design changes and requests for assistance in
strategizing the best approach for obtaining the easement with Caltrans, the overall
schedule of the project has extended efforts and general overhead associated with the
project. The original scope of work identified a schedule of 10 months, with a bid
advertisement date of January 1, 2009, roughly 18 months previous to the current
schedule. The schedule has been delayed primarily due to the City's negotiation efforts
with Caltrans, and without any concise breaks in the work effort, Carollo staff have
continued to provide services throughout the project duration.
The effect of these changes to scope is summarized in the table below.
Re -use existin• •enerator $6,000
Electrical switch•ear feed modification $14,000
MCC and instrument revisions $9,000
Caltrans desi• n alternatives $4,000
Schedule extension $7,000
Total $40,000
We currently have spent approximately $49,000 over our project limit, all of which is currently
being held. We still have "assistance during bidding" services that were included in our original
agreement at an estimated value of $14,000, resulting in a total estimated overage of $63,000.
We are requesting an amendment in the amount of $40,000 and will absorb the remaining
overage of $23,000.
We are very interested in continuing to work for the City of Pleasanton on this project and future
endeavors, and it is very important that you feel that our request for additional budget is
justified. Please let us know if you have any questions or comments.
Sincerely,
CAROLLO
^^
ENGINEERS, P.C. CAROLLO ENGINEERS, P.C.
2 1 0 1 -tA °Sjilgt 4L-.
