Results on the lowest proposer were not favorable, including failure to follow -up on <br /> previous client's requests for information, and have prompted some concerns with staff. <br /> Specialty Graphics proposal was complete. They are a family owned business in San <br /> Leandro. They are the printing company that Image X used to print the City of <br /> Pleasanton Activities Guide in 2007 through summer 2008. They demonstrated an <br /> understanding of previous pagination problems and would manually /visually conduct <br /> quality control checks. If a problem was to arise and they were unable to meet our <br /> timeline, they have established working relationships with several printers to complete <br /> the tasks. The RFP specified that the printer would provide interface with Postal <br /> Service for mailing, unfortunately they do not provide this service; they proposed the <br /> City of Pleasanton acquire and provide mailing list/routes. <br /> Image X has been the City printing contractor for the past three (3) years. Customer <br /> service has been exceptional. During interviews of the four (4) proposing vendors, <br /> Pleasanton -based Image X demonstrated the best understanding of how specific <br /> printing problems could occur, and offered the most proactive quality check process to <br /> prevent those problems. No printing errors have occurred under their contract. During <br /> the summer 2010 Activities Guide development, our graphics design contractor was <br /> unable to complete the project due to personal issues. Image X agreed to step in and <br /> complete the process, taking over where the designer left off. Staff found their service <br /> delivery and quality of work to be very responsive to City needs. <br /> Staff believes it is appropriate to execute a one (1) year contract, with the ability to <br /> renew the contract for three (3) additional one -year periods. The renewals would be <br /> based on the contractor's performance during the most recent contract period, and by <br /> mutual agreement of both parties.
